Billing, Withdrawals and Refunds:
 
As outlined in our Price Structure page billing, withdrawals and refunds vary from program to program. Outlined below are the details for all the different types of GOCI programming in which a student would engage. It is important to note that only "committed" students incur billing that would be subject to a refund. The process to becoming a committed student in a GOCI program begins with a successful application.

Application, Health, and Safety Fee:

Following a successful application, a student will be notified that they have been "accepted" into their GOCI program. From there, each student will then have the responsibility to "commit" or withdraw from that program. We recognize the important decision that students and their beneficiaries are making and want to be sure enough consideration has been given to the responsibilities and risks of their choices. The time period between acceptance and commitment is intended for this purpose of reflection and inquiry before making a final program commitment.  All students who "commit" to their GOCI program will be charged a non-refundable $185 application, health, and safety fee by the GOCI office. This is true for every type of GOCI-organized program that requires an application. 

Note: In order for any student to participate in a program through the GOCI office they must confirm their commitment through their online application portal after they have been accepted. Uncommitted students will not be permitted to participate in their program. Affiliated partner programs may require their own program specific commitments that can include separate deposits. These deposits are of varying amounts, paid directly to your affiliated partner, that will have their own unique program-specific refund schedules. Be sure to confirm billing, withdrawal, and cancellation, refund policies directly with your affiliated program as the GOCI office is not responsible for them.

Refunds:

All refunds depend on the particular type of program from which a student withdraws, is removed from, or has been cancelled. There are six types of application programs through the GOCI office:
  1. Guilford faculty-led semester programs; Munich (offered fall semesters), and Brunnenburg (offered spring semesters)
  2. Affiliated partner semester programs (e.g. ISA, CIEE, SIT, etc.)
  3. Faculty/staff-led Three-Week term programs
  4. Affiliated partner Three-Week term programs
  5. Guilford faculty-led summer programs
  6. Affiliated partner summer programs
Regarding flight refunds: Any airfare purchased by Guilford College and the GOCI office on behalf of a student participating in any off-campus or international program becomes 100% the student's responsibility once the ticket becomes non-refundable. Flight charges are added directly to the student's bill. Additionally, any fees associated with changes made by the student to a flight are billed directly to the student. Changes made to flights by Guilford College and the GOCI office, in response to circumstances outside of committed participants control, are covered by the GOCI office. 

If you do not know your program type, and/or if you would like assistance confirming program specific details, consult with the GOCI office staff.  Refund schedules for each type follow below.

Withdrawal or Removal from Guilford faculty-led Semester Programs:

For withdrawals, students will receive a pro-rated refund of Guilford College tuition, room, and board fees up to the 4th calendar week after the program’s official start date. All refund checks are made payable to the student. Financial aid that requires half-time or full-time enrollment for the term will be canceled in accordance with state and/or federal requirements.

For students who officially and completely withdraw or are removed from a semester study abroad program after the program’s official start date, their assessed tuition, room and board charges will be prorated according to the schedule below.

Students should be aware that withdrawal or removal may result in adjustments to financial aid awards. For withdrawing students who are receiving federal aid through Guilford College, the aid adjustment is dictated by federal regulations. Consult with the Student Financial Aid office for individual details:
• First day of the program through the beginning of the program through the first day of the second week – 90% Adjustment
• Second day of the program’s second week through the first day of the third week – 75% Adjustment
• Second day of the program’s third week through the first day of the fourth week – 50%Adjustment
• Second day of the program’s fourth week through the first day of the 5th week – 25% Adjustment
• Starting the second day of the 5th week – No Adjustment

Withdrawal or Removal from Affiliated Partner Semester Programs:

Students participating in Affiliated Partner semester programs are subject to those program's specific policies for withdrawals and removals.  Each affiliated partner program has its own schedule and timeline for withdrawals and refunds that occur prior to the program start date.  As for withdrawals and refunds after the program start date, in many cases, students will not receive a refund for withdrawing, or for being removed, after a program has already begun. However, as such details vary from each affiliated partner program students must consult directly with their affiliated partner program to determine exact policies and details regarding withdrawals and refunds.

Note: As Guilford College is a "Direct Bill" school with our affiliated partners any costs incurred by Guilford College on behalf of a student will be charged to their student account.


Withdrawal or Removal from Guilford Faculty/Staff-led Three-Week Programs:

Refunds for withdrawing from a Guilford faculty/staff-led three-week term, domestic and/or international, depend on the date of withdrawal.
• First two weeks after the due date of full payment – 50% refund
• Third and fourth weeks after the due date of the full payment – 25% refund
• Beginning of the fifth week after the due date of the full payment – 0% refund

Regarding airfare for affiliated partner international study abroad and domestic study away:
• Students book their own independent travel. Penalties for the cancellation of these tickets will be determined by the airline.

Withdrawal or Removal from a Summer term International Study Abroad:

Refunds for withdrawing from a summer term international program depend on the type of program and the date of withdrawal.

For Guilford faculty/staff-led programs:
• Six to eight weeks before the start date – 75% refund
• Four to five weeks before the start date – 50% refund
• Three weeks before the start date  – 25% refund
• Two weeks or less before the start date  – 0% refund

Regarding airfare for summer term group flights:
• Once ticketed, students are responsible for paying the College 100% of the airfare unless they have been granted an exemption from taking the group flight and/or are flying independently. Penalties for the cancellation of independently booked tickets will be determined by the airline.
